Terms & Conditions

READ CAREFULLY TO ENSURE A SEAMLESS AND MEMORABLE EXPERIENCE

GENERAL CONDITIONS OF PARTICIPATION
AND RULES OF CONDUCT

All activities are carried out in accordance with the Law on Sports, the Law on Tourism of the Republic of Serbia, and the Safety and Liability Regulations for Mountaineering Activities of the Mountaineering Association of Serbia (PSS).

Right to participate:

Participation is open to members of the Mountaineering Society “Expedition Summits”, as well as members of other clubs who hold a valid PSS membership sticker for the current year.

Health condition and physical fitness:

All participants join a trip or expedition at their own risk. By registering, the participant confirms, under full criminal and material liability, that they are mentally and physically fit for the required effort, can tolerate staying at high altitudes, and have no undisclosed health issues. For participation in high-altitude expeditions, a prior medical examination in an authorized medical institution is mandatory, proving the participant’s fitness. Failure to disclose health problems is the sole responsibility of the participant.

Equipment:

The participant is required to have adequate personal and technical equipment as specified in the trip plan (appropriate footwear, climbing helmet, harness, high-altitude gear, etc.). The organizer and the guide have the right to check the participant’s equipment before the start of the ascent.

Visas, passports and border formalities:

For trips and expeditions abroad, the participant is solely responsible for the validity of their travel document (passport) and for obtaining the necessary visas on time. If the participant cannot cross the border due to invalid documents, the organizer bears no responsibility and the standard cancellation rules apply.

Conduct and authority of the guide:

During the trip or expedition, participants must strictly follow the guide’s instructions and schedule. The consumption of alcohol and psychoactive substances is strictly prohibited for the entire duration of the trip organized by the society. The guide reserves the right to immediately exclude from the trip any participant who violates this rule, is inadequately equipped, disrupts the schedule, endangers the safety of the group, or does not show adequate acclimatization, without any right to a refund.

Photo and video material:

By registering for a trip, the participant agrees that the organizer may use photos and video recordings made during the tour for the promotion of the club (on social networks, the website, in documentary materials and presentations).

GENERAL
PAYMENT TERMS

Organizing, and especially the logistics of multi-week and multi-month expeditions, requires clear and strict financial dynamics:

Currency of payment:

All prices in the programs are stated in euros (EUR) for easier and more universal information. However, payments are made exclusively in the dinar equivalent (RSD) at the middle exchange rate of the National Bank of Serbia on the day of payment.

Method of payment:

Payments are made directly to the current account of the Mountaineering Society “Expedition Summits” via general payment slip, e-banking application or based on a pro forma invoice.

Payment schedule:

Deadline for payment: For all types of trips and expeditions, the total amount must be paid no later than 15 days before departure. Failure to pay on time will be considered a withdrawal by the participant.

For expeditions: Registration is considered valid only after payment of an advance of 30% of the total price. The remaining amount is paid according to a schedule agreed with the trip organizer. Note: Due to the specific nature of organizing large expeditions and binding advance payments to local agencies and partners months in advance, the 30% advance payment is non-refundable in case the participant withdraws.

For mountain tours and high-altitude trips: Registration is valid only after payment of an advance of 50% of the total price.

What the price does (not) include:

Each program specifies what is included in the price. Optional excursions, personal expenses, visa costs, personal travel and high-altitude insurance, as well as tips for local guides and porters are borne by the participant, unless otherwise stated.

CANCELLATION TERMS, REFUNDS
AND “FORCE MAJEURE”

The costs of organizing ascents and expeditions arise months in advance. Therefore, the following cancellation rules apply:

Cancellation by the organizer:

If the society cancels a trip due to an insufficient number of registered participants, the money is refunded to participants in full.

Cancellation by the participant:

Mountain tours and high-altitude trips: If the participant cancels, the organizer retains the paid 50% advance if those funds have already been used to cover non-refundable organizational costs (transport, accommodation, etc.).

Expeditions: Due to the high early organizational costs and prepaid, non-refundable services (airline tickets, local flights, climbing permits and early reservations), the 30% advance payment for expeditions is not refunded if the participant decides to cancel their participation.

Finding a replacement: A participant who cancels may independently find an adequate replacement for their spot. In that case, the paid amount is transferred to the new participant, with the obligation to pay only the costs of changing the name on tickets or permits, if feasible.

Interruption of participation during the expedition/trip: If the participant voluntarily withdraws during the tour, must be taken to a lower altitude due to altitude sickness, or is excluded by the guide’s decision, they are not entitled to a refund for the unused part of the arrangement. All additional evacuation costs are borne by the participant.

Force majeure: The organizer bears no financial responsibility in case of cancellation or interruption due to “force majeure” (pandemics, border closures, extreme weather conditions in the mountains). In such situations, a compromise solution is sought and a refund is made only for those funds that can be recovered from local partners and airlines.

Insurance recommendation: We strongly recommend that all participants independently purchase Travel Cancellation Insurance so that, in case of sudden illness or accident before the trip, they can refund their costs directly from the insurance company.
